Your place in the programme
These briefs explain how each contribution can support CJE’s overall success. They are invitations to explore an agreed role, not automatic appointments or editorial grants.
Everyone is welcome to propose a contribution. Only a representative explicitly approved by the Merchant may control wording and imagery in an assigned CJE section. An enquiry, stakeholder role or expression of interest gives no editorial access. CJE retains publication control; permissions for official statements, brands and imagery still apply.
Separate the budget, the commitment, the payment and the evidence of delivery.
What is being budgeted
A reusable Caribbean Jazz Expo business budget will cover programme development and the Jazz ’n Dine pilot relationship. The pilot event keeps its existing financial ownership; a contribution from the Expo needs an explicit agreement rather than an automatic merger of accounts.
Cost areas
- Talent preparation and local performance fees, separately from talent-funded international travel.
- Accommodation room nights, taxes, cancellation exposure and accessibility needs.
- Airport transfers, scheduled local transport and instrument baggage.
- Studio, engineering, writing sessions, music-video production and destination filming.
- Live production, recording, rights, clearances and post-production.
- CaribVision airtime, if agreed; digital delivery and other distribution costs.
- WOMEX registration, stand share if applicable, travel and professional materials.
- Safeguarding, insurance, contingency, community activity and administration.
Revenue and funding areas
- Confirmed participant-package income, with accommodation and service inclusions disclosed.
- Restricted bursaries, sponsor contributions and public support only after approval.
- Commissioned content or licensed recordings only after rights and commercial terms are agreed.
- Event-related allocations only by agreement with the actual event owner.
- Voluntary community donations held and reconciled separately from commercial revenue.
Unknown is not zero
Unconfirmed supplier costs and prices are quote-required. A draft budget may initially contain zero authorised allocations because no spending has been approved; that is not a statement that delivery costs nothing. Record supplier, currency, tax, quantity, inclusions, validity, payment terms and evidence before approval. Do not publish or accept payment for unpriced packages.
Access and approval
Use the existing budgeting and Financial Oversight authorities. Invite contributors only to exact assigned areas after their identity and remit are confirmed. The merchant or designated finance approver approves commitments. An approval is not a payment, and a planned donation is not a completed beneficiary transfer.
